Register for the Rotary Convention

Use our convenient online system to register for the convention and receive an immediate confirmation.

An email confirmation is sent to all registrations, including those registrations that are faxed and sent by post. If a letter of invitation is required for your visa application, you will receive it with your email confirmation. You can access the letter of invitation by going to the Registration page and clicking on the Edit Existing Registration button. This will take you to a screen where you can manage your registration, including the option to resend your confirmation. The confirmation will include a letter of invitation if your address is in a country whose citizens need a visa to attend the convention.

Important deadlines

29 May 2024: Last day for special promotional discount

15 December 2024: Last day for early-registration discount

31 March 2025: Last day for preregistration discount

25 June 2025: Last day for online registration

Registration fees

Register early to take advantage of discounted rates. Go to registration fees for information about rates, cancellations, refunds, and what your registration includes.

Registration for children (age 18 and younger)

A parent or legal guardian must complete a registration form to register those of age 18 or younger. It is not possible to register children 18 and under online.

Group registration

Groups of 25 or more Rotary members and club and district employees may register as a group. All fees must be submitted in full in a single payment using a credit card or check (drawn from a U.S. bank only), or through an international office or fiscal agent.

Review the group registration guidelines and download the group registration form. After 31 March 2025, additional group members can be added only on-site at the convention.

Cancellations and refunds

A $50 processing fee applies to each registrant (each person) who cancels on a registration. Requests to cancel registrants or Rotary-ticketed events must be received in writing by 30 April 2025. Cancellations caused by visa denial must be received in writing by 25 June 2025.

RI will refund registration and ticket fees if the convention is canceled but is not responsible for travel or other related costs incurred by Rotary members and their guests. Registration and tickets are not transferable.

Personal information sharing

Your privacy is important to Rotary and the personal data you share with Rotary will be used only for official Rotary business and is subject to Rotary’s Privacy Policy, rotary.org/privacy. This means that your personal data will be used to facilitate your attendance at the convention and to enhance your experience. Personal data you provide when you register for the convention may be transferred to Rotary service providers (for example, we may share your personal data to print name badges). Personal data collected by convention service providers is subject to their respective privacy policies. You may receive information about the convention, its sponsors, and supplementary services via email. You may object to the use of your email address at any time by sending your request to ri.registration@rotary.org.

Photography/recording release

By registering for, attending, participating in, or visiting the Rotary International Convention, preconvention events, Rotary-ticketed events, signature events, other affiliated events, and Host Organization Committee events, you consent to be recorded and for your child to be recorded by any means, including still photography, audio, interview, and video recording (“Recordings”). Rotary may use the Recordings on its website, in its publications, and on social media to promote Rotary. Rotary retains the Recordings for historical and research purposes. You grant Rotary a perpetual, irrevocable, worldwide, royalty-free right to use, copy, display, modify, distribute, publish, reproduce, transmit, broadcast, stream, webcast, publicly perform, translate, transcribe, adapt, create derivative works of, and license the Recordings and your and your child’s images, statements, names, likenesses, and voices for promotional, marketing, and educational purposes without Rotary International or The Rotary Foundation incurring debts or liabilities of any kind.

RI Programs Code of Conduct

Rotary (“RI”) is committed to providing a safe, productive, and welcoming environment that is free of harassment for all meeting participants and RI staff. All participants, including, but not limited to, attendees, speakers, volunteers, exhibitors, RI staff, service providers, and all others (“participants”) are expected to abide by the RI Programs Code of Conduct, which incorporates the Rotary International Website Terms of Use, when participating in in-person, virtual, and hybrid meetings.

General notices

For security purposes, all registrants must show photo identification (such as driver’s license or passport) to obtain their badge. Rotary reserves the right to check photo identification at any time during the convention. Badges that do not match will be confiscated and violators will be ejected without refund. All persons, bags, and other items brough into the convention venue are subject to inspection. Registrants refusing inspections may be denied entry to the convention.

Your badge will contain your name, email address, and a QR code that is encoded with tickets purchased for any Rotary-ticketed events. If you allow exhibitors in the House of Friendship to scan your badge, you are permitting them to use your name and email address for future solicitations.

In attending the convention, you acknowledge that there is risk of exposure to viruses and communicable diseases where people are present, and assume such risk by attending the event. You agree to abide by all policies and procedures set forth by Rotary International, and all local, state, and federal laws, rules, and regulations including social distancing and face covering orders.
